How to use staff augmentation
Staff augmentation adds workers to your crew for an agreed assignment. Your site supervisor directs their day-to-day work. You might need extra people for a project phase, a shutdown or a change in the schedule.
Start by deciding what work needs doing and who will supervise it. If you need another company to manage and deliver a whole scope of work, that is a different arrangement from adding people to your crew.
Describe the work you need covered
Give Rinvio the details of the job:
- The trade and the tasks workers will do.
- How many people you need, and the experience, licenses or certifications those tasks require.
- The site address, requested start date and expected end date.
- Shift times, days of work and expected weekly hours.
- Tools and equipment involved, known hazards and any work restrictions.
- Site-access requirements, orientation time and any travel needs.
- The name and contact details of the person supervising the work.
Be specific about the tasks. Installing conduit and troubleshooting controls can call for different experience, even though both involve electrical work. If the schedule or scope is still changing, say which details are estimates.
Confirm the assignment before the start
Check that the work area, materials and equipment will be ready for the crew. Then agree with Rinvio on the work, headcount, schedule and start date. A requested date is not a confirmed start.
Put the arrangements in writing. Cover who supplies tools and protective equipment, what qualification checks are needed, and which employment and insurance documents must be in place. Agree on how hours will be recorded and who will approve them.
Name a contact on each side. Know whom to call if someone is absent or the person's experience does not match the work. Agree up front how absences and skill mismatches will be handled.
Prepare for the first day
Send clear arrival instructions: the correct gate, parking, check-in point, shift start and site contact. Arrange for someone to meet the workers and introduce them to their supervisor.
Before work begins, make sure the required orientation and task-specific training are complete. Explain the work area, hazards, protective equipment, emergency procedures and how to report an injury or unsafe condition. Check that workers understand the instructions and have the tools and equipment needed for the agreed tasks.
OSHA says staffing agencies and host employers share responsibility for temporary workers' safety, with each party's duties depending on the facts of the assignment. Review OSHA's guidance on protecting temporary workers with the people responsible for safety at your site.
This guide is for planning. It does not replace the safety requirements or legal advice that apply to your work and location.
Check the work and deal with problems early
Have the supervisor check in during the first shift. Are the assigned tasks clear? Does the work match the experience you requested? Is anything preventing the crew from doing it safely?
Tell Rinvio promptly about attendance problems or a mismatch between someone's skills and the assigned work. Describe what happened and what needs to change. Keep accurate time records and resolve questions while the details are fresh.
Review changes before assigning different work
Tell Rinvio when the tasks, location, hazards or schedule change. Review the change together before moving workers to different duties. Check whether it calls for different skills, training, equipment or protective measures.
Discuss upcoming staffing needs early. Confirm additional people or shifts rather than assuming they can be added to the existing assignment.
Agree on the end date or an extension
As a project phase ends, decide whether you still need the same trades and headcount. Tell Rinvio about an extension, reduction or end date under the agreed notice terms. If you want to keep the same people, tell Rinvio early.
Approve the remaining hours, arrange equipment returns and close site access when the assignment ends.
