What this notice covers
This is our Notice at Collection for job applicants under California law. It applies when you apply for a job, join our talent network, or exchange calls, texts, or email with our recruiting team. It works together with the full Privacy Policy. Our services are offered and intended for users in the United States only; Rinvio does not offer services outside the United States.
What we collect
- Identifiers and contact information: name, email, phone, city and state.
- Application information: resume, work history, trade or role, certifications, availability, pay expectations, professional profile links you share such as a LinkedIn URL, and education listed on your resume.
- Work authorization status, used only to confirm eligibility to work. Under California law this can be sensitive personal information: we use it solely for that purpose, never to infer characteristics, and never sell or share it.
- Messages and communications you send us.
- Technical data created when you use the application pages, such as server logs.
Why we collect it
- Evaluate your application and match you to open work.
- Contact you about opportunities and your application status.
- Verify credentials and certifications you tell us about.
- Onboard you as a W-2 employee if you are placed.
- Run, improve, and secure the recruiting process.
Who receives it
We do not sell applicant information and we do not share it for cross-context behavioral advertising. It goes to three kinds of recipients:
- HubSpot, the CRM that processes applications for us as a service provider under contract.
- Client employers considering you for placement. Sending them your qualifications is the service you signed up for.
- Government agencies, only when the law requires it.
How long we keep it
We keep applicant information for up to 24 months after your most recent activity with us, such as your last application or message, then delete or de-identify it. That window reflects how long candidates typically stay in consideration for new openings. Ask us sooner and we remove it sooner. If you are hired, employment records are kept as employment and tax law requires. The same window and criteria appear in our main privacy policy.
Your rights
As an applicant you can ask us to:
- Know: what we collected about you, where it came from, why, and who received it.
- Delete: remove your information, with narrow legal exceptions.
- Correct: fix anything we have wrong.
No retaliation: making a privacy request will never hurt your application or your standing with us. You can also stop texts any time by replying STOP, and unsubscribe from emails using the link in any message. Recruiting texts are covered by our SMS Terms.
How to make a request
Email info@rinvio.com with the subject line Privacy Request, or use the form at rinvio.com/contact. We verify requests by matching your details, such as name, email, phone, and your application, against our records, and we respond within 45 days. An authorized agent can act for you with your signed permission.
